Citywide Utilities are currently recruiting for an Administrator to join our dynamic and supportive team! Based in North Melbourne, this role would suit a strong administrator who loves juggling multiple tasks, enjoys liaising with Operational Managers, employees and customers, and who wants to be an integral part of the team. This is a great opportunity for an experienced Administrator, looking to grow their career and develop their Administration skills.

About the Role:

Supporting the Victorian Utilities team, this role will see you involved in day-to-day administration activities including contract and financial administration. 


Responsibilities of the role include but are not limited to:

  • Creating new sub-contractor request forms and compile associated subcontractor documentation
  • Receive, print and allocate contract work requests/orders
  • Process contract related data and enter information into client databases as required
  • Raising purchase orders and invoices
  • Creation, administration and closure of jobs in Great Plains (GP)
  • Participate in end of month (EOM) reporting and reconciliation process
  • Contribute to new tender costing as required
  • Process time sheets or provide input for labour hire employees
  • Database management and maintenance as necessary
  • Preparation of monthly contract reports for customers/clients
  • General office administration support (eg. telephone and email customer liaison, processing of internal and external mail requests, maintain and control filing system, taking of meeting minutes as required, monitor stock levels of office stationary and re-order when necessary, and general correspondence)


Skills and Experience required:

  • A strong background in Administration with proven experience in a similar role
  • Experience in Financial Administration is essential
  • Proficiency in Great Plains (GP) CostX, Benchmark, Trax and Wennsoft would be an advantage
  • Proficiency in Microsoft suite of packages is essential
  • Proven track record in delivering results 
  • Customer Relations Management experience 
  • Proven ability to build relationships with customers and provide exceptional customer service 
  • Excellent written and verbal communication skills
  • Ability to thrive in a fast paced environment
