Program Manager - Work Order Scheduling System for Operations
Location: North Melbourne (with travel to Victorian Depots)

We are seeking an experienced Program Manager to oversee the Work Order Scheduling System and ensure its effective implementation within Operations. This critical tool plays a central role in managing and tracking work orders, ensuring tasks are completed on time, and maintaining a governance structure that supports both budget control and timely execution.
In this role, you’ll manage key relationships, collaborate with multiple teams, and ensure the scheduling system operates seamlessly to meet both business and customer needs. Additionally, you will provide onboarding training for new contracts and regular training for all Operations teams, ensuring everyone is fully engaged with the system and able to use it effectively.
Key Responsibilities:
- Regular attendance at Victorian depots to collaborate with the operations team and understand on-the-ground challenges.
- Work Order Scheduling System Management: Oversee the effective use of the system to meet operational goals and timelines. Track and monitor work orders, ensuring tasks are completed as scheduled.
- Governance & Compliance: Develop and enforce a strict governance framework to ensure work streams are delivered within budget and timelines. Conduct regular audits and reviews to ensure compliance with governance policies and adjust processes as necessary. Escalate risks as required to the Group Head of IT.
- Customer Meetings: Lead meetings with customers (Councils), ensuring customer needs are addressed and fostering strong relationships with internal and external stakeholders.
- Monthly Status Reporting: Prepare detailed status reports for the Group Head of IT, covering progress, delays, risks, and budget adherence.
- Collaboration & Continuous Improvement: Work closely with operations teams to identify challenges and propose solutions to improve system performance and customer satisfaction.
- Risk & Issue Management: Proactively identify risks early and take corrective actions to keep projects on track.
- Training & Onboarding: Provide comprehensive onboarding training for all new contracts and ensure regular, ongoing training for all operations teams, ensuring full involvement and understanding of the Work Order Scheduling System.
Key Qualifications:
- Education: Bachelor’s degree (or higher) in Business, IT, or a related field (or equivalent experience).
- Experience: 5+ years in program or project management, particularly in operations or IT environments, with proven experience with Work Order Scheduling Systems, governance frameworks, and customer relationship management.
- Skills: Strong project management, communication, and problem-solving skills. Proficiency with scheduling tools and systems. Ability to manage multiple projects and workstreams simultaneously.
